Workstudy Timecard Training

 

An email will be sent to your UMC email account with your electronic work-study timecard once all your payroll documents are turned in and processing is completed.

Keep in mind that this is a real job. If you can't make it into work, please make sure to notify your supervisor in advance.

Please make sure to do the following:

  1. When you are emailed your timecard, open it in Excel and save it to your computer. All entries made by you must be saved.

  2. Before you go to enter in hours worked, make sure that you are in the right payroll period. There are tabs located at the bottom of the spreadsheet that denote the payroll periods.

  3. Do not enter hours outside the payroll period noted on each timecard. For example if the timecard says payroll period 8/29-9/14 do not enter in hours worked on 9/15 on that timecard. You'll need to record those hours on a new timecard.

  4. Make sure when entering in the dates worked that you use the 8/29/07 format.

  5. Make sure that when entering in hours worked and the a.m. and p.m. that you space between the hour and the a.m. and p.m.

    • a.  Correct: 4:00 p.m. to 5:00 p.m. Incorrect 4:00pm to 5:00pm.      You'll know if you did it incorrectly because you'll get this      #value in the box.

  6. Make sure that you print each timecard and sign it in the INK along with your supervisor

  7. You will turn in your timecards at the One Stop Student Services Center into the wooden box located at the front desk on the date noted at the top of each timecard. Late timecards may not be processed for payroll.

  8. Each timecard notes the date you will get paid. You can pick up your paycheck at the Business Office located in Selvig Hall or you will receive a direct deposit if elected.

  9. Make sure that you monitor the "remaining hours" box at the bottom left of the timecard. This is how much you have left to earn in workstudy dollars. Do not work over that amount.
